Guest Services Director

Reports To: Operations Director

Position Overview:  The Guest Services Director is responsible for the entire member and guest experience and oversees the following operations/teams: daily visitor admission, memberships, OTHS Market, massage, childcare and the community room.

The responsibilities include organizing, directing, and coordinating the work of all departments to maximize revenue and profit while attaining optimal guest satisfaction.  The Director of Guest Services is also responsible for initiatives that drive and create value for members and guests, as well as responding to guests’ requests and concerns and accommodating groups to ensure satisfaction and repeat business and member retention.

 

Essential Job Functions:

Leading Guest Services Teams

  • Utilizes interpersonal and communication skills to lead, influence, and encourage others; advocates sound financial/business decision-making; demonstrates honesty/integrity; leads by example.
  • Serves as a role model while also clearly articulating expectations of appropriate behaviors.
  • Supervises managers and assists with employee management. Understanding employee positions well enough to perform duties in the employee’s absence.
  • Conducts regular analysis of departments to ensure compliance with all policies, standards, and procedures.
  • Identifies the developmental needs of staff and provides coaching and mentoring to improve their knowledge or skills.
  • Provides regular guidance and direction by setting and monitoring performance standards.
  • Reviews staffing levels to ensure operational needs and financial objectives are met.

Maintaining Guest Services Goals

  • Manages day-to-day operations, ensuring the quality, standards, and expectations of the customers are met.
  • Develops specific goals and plans to prioritize, organize, and accomplish initiatives.
  • Handles complaints, settles disputes, and resolves grievances and conflicts, using superior negotiating and problem-solving skills.
  • Observes service behaviors and ensure appropriate training for the highest level of service.

Ensuring Exceptional Customer Service

  • Implements customer recognition/service programs.
  • Provides services that are above and beyond for customer satisfaction and retention.
  • Improves service by communicating and assisting staff to understand guest needs by providing guidance, feedback, and individual coaching and development on a regular basis.
  • Serves as a leader in displaying outstanding hospitality skills and a positive example for guest relations.
  • Observes service behaviors of employees and provides immediate and direct feedback.
  • Maintains high visibility for guests and staff.
  • Interacts with guests on a regular basis throughout the facility to obtain feedback on product, service levels, and overall satisfaction.

Budget

  • Monthly monitoring of payroll and departmental expenses and revenue to budget.
  • Annual participation in facility budgeting process.

Additional Responsibilities

  • Provides communication and information to supervisor, peers, and staff in a timely and direct manner.
  • Analyzes information and evaluates results to choose the best solutions in solving problems.
  • Informs and updates fellow Directors on relevant information in a timely manner.
  • Maintains a strong working relationship with all departments to support smooth operations and accomplishment of goals.
  • Maintains a professional image and manner consistent with the OTHS mission and goals.
  • Provides leadership and direction in the development of short- and long-range plans, and gathers, interprets, and prepares data for reports and recommendations as it pertains to the guest services department.
  • Assist with special events, parties, fundraisers as needed.

 

Position Requirements:

Education, Training and Experience

  • Bachelor’s Degree
  • 5-10 years of experience hiring, managing, and evaluating employees.

Technical Skills

  • Extremely strong computer skills with the ability to learn and manage the use of a health club management software system. Knowledge of the Jonas System “Compete” is a plus.
  • Extensive knowledge of POS systems, inventory tracking/reporting, and modern health club membership management trends.

Communication Skills

  • Exhibit excellent verbal and written communication skills.
  • Must be able to maintain composure during high stress events and conversations.
  • The ability to create a positive team-oriented environment focused on guests, and the ability to inspire a high-level of performance and alignment with the organizational culture is required.

 

Pay and Benefits:

  • Full time. Salary dependent upon experience: $65,000-$80,000

Guest Services Manager

Job Summary:

The Guest Services Manager will work at the front desk greeting, assisting, and providing direction and information to clients, visitors, and other guests of the organization. The Manager will provide strong leadership to the Guest Services Team and lead initiatives that improve the customer service, sales, and professionalism of the front desk team. The Manager, alongside the Director, will lead in training staff, sales, and scheduling.

Duties/Responsibilities:

  • Greets clients, visitors, and guests; determines the purpose of each person’s visit and directs or escorts guests to the appropriate location. Perform and assist staff with guest admission, sales, programming, and retail.
  • Answers, screens, and directs phone calls; takes messages and schedules appointments.
  • Handles customer price discrepancies and escalations as they arise.
  • Act as subject matter expert of emergency protocols.
  • Manage daily bank/change. Ensures accurate transactions by balancing cash register at the beginning and end of shift and sales at the end of shift.
  • In partnership with Guest Services Director, develops and implements ongoing staff training, including customer service development.
  • Inventory ordering and stocking of retail items and admission tickets
  • Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
  • Operate the cashier stations, computers, and phone systems.
  • Performs basic filing and recordkeeping.
  • As needed, assist Market team with customer orders.
  • Successful completion of on-the-job training.
  • Assist Guest Services Director with other initiatives as assigned.
  • Hours can vary but may include mornings, afternoons, evenings and /or weekends. Weekend MOD coverage will be required.

Required Skills/Abilities:

  • 3–5-year customer service experience
  • 1-3 years of leadership experience hiring, managing, and evaluating employees
  • Bachelor’s Degree preferred.
  • Excellent interpersonal and customer service skills.
  • Excellent verbal communication skills.
  • Basic understanding of administrative and clerical procedures and systems.

Job Summary:

The Old Town Market at Old Town Hot Springs offers members and guests a fast, healthy dining option. We are seeking a Market Attendant to prepare and serve specialty smoothies, coffee, beverages, and select food items to members and guests.

Duties/Responsibilities:

  • Prepares and serves a variety of smoothies, protein shakes and coffee to patrons; correctly customizes orders as requested.
  • Describes product details to customers.
  • Receives and processes customer payments.
  • Ensures customer service stations are properly stocked with paper products or beverage preparation items.
  • Cleans and sanitizes all equipment, utensils, dishes, and work areas.
  • Cleans and sanitizes service and seating areas.
